ZyIMAGE Exchange Connector Automatically Archives All Information from a Microsoft® Exchange Server into an XML Repository; Helps Address Compliance Challenges

October 4, 2004 - McLean, VA - ZyLAB, an established market leader of document imaging and information retrieval software, today announced the immediate availability of its new e-mail archiving and retrieval solution. ZyIMAGE Exchange Connector offers users the ability to manage vast amounts of e-mail, which helps support compliance with regulations such as Sarbanes-Oxley, SEC 17a-4, NASD-3010 and FDA CFR 21 Part 11.

ZyLAB's new ZyIMAGE Exchange Connector enables users to archive information from their Microsoft Exchange Server into a ZyIMAGE XML Repository. All the information that needs to be archived, including e-email attachments, is copied from the Microsoft Exchange Server and stored as XML files. Storing e-mail in an XML environment assures long-term data viability as well as compatibility with future systems without the need for expensive conversions or upgrades. Depending on a user's needs and infrastructure, the ZyIMAGE XML Repository can reside on almost any storage device, including HDD, RAID or SAN.

The ZyIMAGE Exchange Connector automatically adds information such as recipient name, sender name, date and time as key fields so that users' archives are automatically structured. Using ZyLAB's advanced full-text retrieval engine, users are then capable of creating a searchable archive and retrieving documents quickly and easily. Importantly, this solution means a user no longer needs to manually archive their e-mails; rather, all e-mail is automatically archived directly from the server and is immediately searchable.

Different scenarios exist regarding how the e-mail archive can be used:

  • Stand alone - The e-mail that is archived can be searched and managed with a stand-alone ZyFIND Windows application, which will enable only authorized individuals to access the archived e-mails.
  • Web based - With the ZyIMAGE Webserver or Enterprise Webserver, users can search and view e-mail through a simple Web browser. Retrieved e-mails can also be reused in the Exchange e-mail clients for forwarding or replies.
  • Web based and security - Using the ZyIMAGE Enterprise Server in combination with the Document Security Module creates an e-mail archive portal that allows users to log on and restrict searching to their own e-mail.

In addition, if bundled with ZyALERT, the ZyIMAGE Exchange Connector can also be used to monitor incoming and outgoing e-mails and automatically notify selected users if particular types of information are contained in those e-mails.

As noted in a recent Computerworld article, the Radicati Group, a market research firm in Palo Alto, Calif., predicts revenues for enterprise-level active archiving and storing will grow to
$1 billion by 2007. Demand will be driven not only by regulatory compliance but also by businesses' internal need to access crucial e-mail documents over time while managing rapidly proliferating message files more effectively.
